How to record a voicemail greeting and the options you have

To access your voicemail you can press the Voicemail Icon on your handset or Softphone, Dial 1571 or ring the Remote Access Number for Voicemail to understand how to access these further please see this guide here.

Once you have gained access to your voicemail you will be taken to the Main Menu and the different options you can select to change your greeting press Option 1 we now have two recording options to chose from,

Option 2 - Changing your Busy Greeting (This would be if you are engaged on another call or have Do Not Disturb activated)

Option 3 - Changing your No Answer Greeting (This would be when you either are away from your desk or do not answer your call)

Within the same area you can also select,

Option 1 - Listen to your messages

Option 5 - Compose and send a new message
Option 7 - Delete all messages
Option 8 - Record your Voicemail's name
Option * - Go to the voicemail system
Option # - Repeat this menuBefore recording your voicemail greeting, first you need ask yourself a couple of questions to make sure the Voicemail Greeting is being recorded on the correct number and for the correct setting.

  1. What number do you want the greeting to be recorded on? This can either be set up your own number or the Main Number.

  2. When do you want the greeting to play? There are two options here. One option is to have a greeting for when you are on a call (Busy) or the other is if the call is not answered.

Once you know the above, you can access the voicemail you require. For accessing the voicemail on your handset, simply press the Envelope key, or dial 1571 on the keypad.

You will then be prompted for your PIN. When you enter the correct PIN, you can then press 1 to enter into the voicemail menu.

To check voicemail for a different number (for example,  the main number) from your phone, press the the Envelope key, or dial 1571 on the keypad.

Next, instead of entering your PIN, press the * key.

You will then be prompted to enter 'the extension of the mailbox you wish to enter', followed by the corresponding PIN.

Once you are logged in, you will be asked "To access your voicemail box, press 1" select OPTION 1. DO NOT SELECT OPTION 3.

After selecting OPTION 1, you will be presented with the following options (The greeting options are in bold):

Option 1 - "To listen to your messages"
Option 2 - "To change your mailbox busy greeting" - If you are on a call or on Do Not Disturb, this message will play
Option 3 - "To change your mailbox no answer greeting" - If you are away, this message will play
Option 5 - "To compose and send a new message"
Option 7 - "To delete all messages" - Please be cautious with this option
Option 8 - "To record you name"
Option * - "To go to the voicemail system"
Option # - "To repeat this menu"
